Exhibitor Information

The General Services Administration, Federal Acquisition Service, Office of Integrated Technology Services (ITS) has a number of contracts and choices available to our customer agencies from the ITS portfolio of products and services.   For the 2008 Network Services Conference we are pleased to announce that exhibit opportunities are available to GSA ITS industry partners, as noted below, with Network Services contracts as well as complementary GWAC / IT schedules contracts.

The following is the criteria to exhibit at the 2008 Network Services
Conference:

For Network Services Contracts

GSA/ITS Network Services Industry Partners with a current (existing) contract (the prime contractor), subcontractors to the prime contractor and suppliers with contractual agreements with the prime contractor are eligible to exhibit at the 2008 conference.

For Clarification - To exhibit as a Network Services industry partner one must:

  • Have a current GSA/ITS Network Services Contract. (as examples; the
    Metropolitan Area Acquisitions (MAA), Connections, FTS 2001, Regional Telecommunications Services, WITS, Satellite - SATCOM II, Networx,
    Telecommunications Expense Management (TEMS))
  • Be a prime contractor, a subcontractor to the prime contractor, or a supplier with a contractual agreement with a prime contractor for a GSA/ITS Network Services contract.
  • Subcontractors to a prime contract holder and suppliers with contractual agreements with a prime contractor (the prime has a current GSA/ITS Network Services contract) are permitted to have their own (stand-alone) exhibit booth at the 2008 conference.
  • A Subcontractor and/or a supplier with a contractual agreement with a prime contractor, with the concurrence of the prime contractor and in accordance with Conference exhibitor guidelines, may exhibit in the space with the prime contractor.

FOR Governmentwide Acquisition Contracts (GWACs)/IT SCHEDULES CONTRACTS.  (new for 2008)

This year the following GWAC / IT schedules industry partners are eligible to exhibit at the 2008 ITS Network Services Conference:

  • Contractors listed under IT schedule 70, Special Item Number (SIN) 132-53, Wireless Services, SIN 132-52 Electronic Commerce Services, and SIN 132- 51 Information Technology Services.
  • GWAC contracts, the prime contractors under Millennia, Millennia Lite, and ANSWER
  • Contractors under functional area 8 of the 8(a) STARS (Streamlined Technology Acquisition Resources for Services) Contract are eligible to exhibit.

ALL  Exhibitors will utilize their exhibit space at the FAS/ITS 2008 Network Services Conference to promote the products and services they offer as customer solutions under their respective Network Services, GWAC, and/or IT Schedules Contract(s).

Contractors with contract awards THAT ARE NOT NOTED ABOVE are NOT eligible to exhibit at the 2008 Network Services Conference. However, companies not eligible to exhibit may register for the Conference and thus participate in scheduled Conference events.

Please carefully review the exhibit criteria prior to continuing on to the Exhibit Application form.  All information submitted is subject to verification and will be reviewed by GSA.  You are urged to apply for exhibit space as soon as possible.  If you have any questions in reference to the criteria for exhibiting please contact Jim McVey at 703-306-6503 or email at jim.mcvey@gsa.gov .

Once your application to exhibit has been approved by GSA/ITS,  A-S-K Associates will contact you with the "Official Exhibit Space Contract." Booth selection will not be available until payment is received and will be done on a first come, first paid basis.

Apply early for your exhibit space.  We anticipate the exhibit hall for the 2008 Network Services Conference will be a sell out!

Market Directly To:
The FAS/ITS 2008 Network Services Conference is designed especially for Federal Government employees as well as the military personnel whose focus is on Network Services, Information Technology Solutions, and Information Security/Assurance.

Exhibitor Fee:
The cost to exhibit at the FAS/ITS 2008 Network Services Conference is $3,995 per 10 x 10 booth space. Organizations may purchase multiple booths at $3,995.00 each.  There are no discounts available for multiple booth purchases.

Booth and staffing registration fees must accompany contract for exhibit space

  • 10' x 10' booth space with 8' back wall and 3' side wall drapes, and ID sign
  • 2 chairs
  • Wastebasket
  • 6' Skirted Table
  • Two complimentary exhibitor badges per 10 x10 booth space
  • Hosted Food and Beverage Functions in Exhibit Hall:
    • Opening Reception on Monday
    • Refreshment Breaks on Tuesday and Wednesday
  • Exposure on the FAS/ITS 2008 Network Services Conference web site
  • Listing in printed program

New For 2008 Additional Exhibitor Benefit:

We are pleased to announce an additional benefit for exhibitors at the 2008 Network Services Conference.  While available, there are a limited number of meeting rooms at the Sheraton Dallas for Exhibitors to use during non-conference time periods to meet with your company’s employees and/or to hold exhibit booth staff meetings.

The meeting room will be provided at no charge to conference exhibitors.

Once your meeting request has been confirmed, you will be given the hotel contact through which you may order additional items (AV equipment, internet, refreshments) for your meeting space as required.  You are responsible for payment for these services directly to the Sheraton Dallas, via a credit card.

As noted under the conference exhibit criteria, please keep in mind that GSA discourages vendor sponsored events, including hospitality suites, during the entire duration of the conference. Further, GSA will not allow any activities for conference attendees that conflict with the scheduled conference agenda.

Once the Exhibitor has Paid and Selected their Booth, information will be provided as to how to request meeting space.

The deadline for requests is July 18, 2008.

Important Notice:
Exhibit hall will be closed during lunch on Tuesday and Wednesday from 12:00 pm - 1:00 pm. Exhibitors are on their own for lunch and must exit the hall by 12noon. Re-entry will be available at 12:55 pm. Exhibitors are required to staff their booth during the entire show.

Government Airline Checked Baggage Fees
Many airlines are charging additional fees for checked baggage. The Baggage Allowance Fact Sheet is specific to those carriers under the City Program contract. It is intended to provide information and protect travelers under the contracted fares. New airline checked bag policy applies to travel commencing June 5, 2008. The fact sheet shows the fee charged or if an exception is allowed by the carriers.

We suggest that you confirm direct with the airline in advance of your trip.

Note:
Meal functions and Plenary Sessions, as well as the Networking Reception on Wednesday are not included in the cost for exhibitors.  Access to these events can be arranged for an additional fee. If you would like to register as an industry attendee for $1145 to gain access to all these events click here.

Individual Meal and Event Tickets:
As an exhibitor, you do not have access to the following events, however if you would like to purchase a ticket on-site to attend, the prices are as follows:

Additional Booth Information:
Other amenities are available for an additional fee.  Carpet is not included in your fee to exhibit, however it can be purchased through the Exhibitor Kit if you want it in your booth. Registered exhibitors will receive an exhibitor services manual which will include amenities and shipment information.

Booths may NOT be taller than the 8' back wall provided.

Booth Assignments:
Booth locations will be assigned on a first come, first paid, basis. No exhibitor will be assigned space until payment is received in full. After full payment has been received, you will be asked to select your top three booth preferences.

Exhibitor Cancellation Policy:
An exhibitor, by certified letter only, may cancel or withdraw from the FAS/ITS 2008 Network Services Conference on or before April 30, 2008 with a 25% penalty.  From May 1, 2008 to June 15, 2008 a 50% penalty will be assessed for cancellation.  After June 15, 2008 no refund will be issued.

Gifts and Sponsored Events:
Government employees attending any conference must adhere to the Standards of Ethical Conduct issued by the Office of Government Ethics (OGE). GSA wants to ensure that any gifts you may offer at any conference do not result in violations of the OGE regulations governing the acceptance of gifts.

Under the OGE regulations, a Government employee may not accept a gift or gifts from you as a vendor with a market value of more than $20 during the span of the conference (not to exceed $50 from the same source in a calendar year). Promotional items, including booth handouts, and vendor-sponsored events are considered gifts under the OGE regulations, as are food and drink (with the exception of modest items of food or refreshment such as soft drinks, coffee and donuts, offered other than as part of a meal).

Keep in mind that the conference at which you are exhibiting is considered a single occasion/event for purposes of the OGE regulations and, as stated above, employee acceptance of gifts is limited to $20 or less per source per occasion, that is per vendor for the entire conference, not a per item basis. In addition, neither GSA nor its conference planning contractor will hand out any vendor promotional materials. This includes bags, name badge holders, literature, etc.

GSA discourages vendor-sponsored events, including hospitality suites, during the entire duration of the conference. Furthermore, GSA does not intend to consider requests to authorize GSA employees to attend any widely held gatherings during the course of any conference. Finally, please note that the exhibitor agreement for the conference at which you are exhibiting includes a provision stating that the exhibitor agrees not to offer gifts and/or vendor-sponsored events that exceed the OGE regulatory limits, and if the exhibitor does so, the Government will require the vendor to close its exhibitor booth.
